Change Machine is on track to grow significantly over the next several years and expand into new markets.  The COO will help guide the operational and financial strategies that will enable the organization to achieve this growth while maintaining industry-leading results.

The Position:
Change Machine is seeking a smart, hardworking, and experienced financial and administrative professional to become its Chief Operating Officer (COO). Reporting directly to the Chief Executive Officer, the COO will be responsible for implementing and managing all systems at Change Machine related to administration, human resources, finance, and operations. The COO will also be a key communicator within Change Machine, ensuring that policies and procedures are understood and consistently applied, and that Change Machine’s organizational values are reflected in all its systems.

The COO will bring significant experience in each of these areas, gained in a company that has successfully scaled or a start-up organization. A proven track record of designing and implementing systems that support a complex organization as it grows is essential. The COO should not only be able to solve challenges as they arise, but also to draw on their management experience to anticipate future challenges especially in talent management, project management, and workplan accountability.

The COO will be a dynamic and enthusiastic individual who will join Change Machine’s leadership team. Candidates should be adept in fast-paced environments, and have the personal presence and maturity required to effectively lead and manage a passionate and driven staff. The COO’s experience in change management will help Change Machine to build a cohesive leadership team and a broader culture that inspires employees to produce their best work and reinforces Change Machine’s commitment to equity. As a key “right hand” to the CEO, the COO must act decisively and manage the organization’s daily operations to allow the CEO to fulfill her external responsibilities effectively.

It is critical that the COO be capable of integrating smoothly into the senior management, fitting into the organization’s culture.   They will provide counsel and support to the CEO, the leadership team, and the Board of Directors on all financial and operational matters and reports to the Board, as well as work on various strategic initiatives.  They will work with the executive, program, and finance staff in a supportive and direct manner.  They will have strong interpersonal skills, excellent written and oral communication skills, a hands-on management style, as well as the ability to address and solve problems or issues as they arise. In addition, it is expected that they will be diplomatic, will operate with the highest integrity, and will possess sound judgment – as well as a sense of humor.

Specific Responsibilities include:

Finance and Operations

  • Supervise the three-person Finance and Operations team.
  • Coordinate the annual operations plan and budgeting process. Ensure that Change Machine’s financial systems and controls are prepared for growth in organizational scale and complexity.
  • Oversee the accounting team and produce timely financial information for internal management and external reporting. Key internal users of relevant financial data include Change Machine’s Board of Directors, C-Suite, and senior management team. Ensure seamless integration of fundraising and financial management and reporting systems.
  • Execute contracts and agreements that sustain Change Machine’s planned growth. Maintain systems to effectively manage outsourced capacity through vendor contracts. Supervise external legal providers.
  • Analyze Change Machine’s current technology infrastructure and scope out the next level of information technology that support growth of specific programs and the organization overall.
  • Design and implement systems for information flow, including project and time management, workplan accountability, and internal communications. Support staff’s development of enhanced project and time management skills.
  • Supervise and monitor insurance coverages to mitigate risks; ensure that organizational plans for business interruptions or emergencies are in place and understood.

Human Resources and Organizational Culture

  • Build and supervise a two-person HR & Culture team.
  • Foster a human capital development culture. Ensure processes and policies for recruitment, onboarding, professional development, and retention of the organization’s human capital.
  • Cultivate and promote the values of Change Machine within the organization. Promote Diversity, Equity, and Inclusion throughout the organization with support from consultants and team.
  • Work with the Director of HR & Culture to improve Change Machine’s approach to compensation (including benefits) and performance evaluation.
  • Lead and administer the performance management process that measures and evaluates progress against goals for the organization.
  • Provide a strong day-to-day leadership presence, interface with the Board of Directors, and serve as the go-to leadership contact for staff when the CEO is out of the office.
  • Lead C-Suite meetings – agenda setting; tracking commitments and accomplishments; communicating internally.
  • Responsible for materials and logistics for meetings of Change Machine’s Board of Directors as well as interim communications with the Board and Board committees. Play a lead role in planning for and monitoring progress against Change Machine’s multi-year growth plan. Translate the organization’s annual priorities and multi-year vision into an institution-wide operating plan with specific focus on systems, policies, and talent management.

Development and Marketing

  • Supervise the four-person Development and Marketing team.
  • Oversee routine fundraising and ensure that proposals and reports are produced in a timely manner. Ensure the timely collection and integration of information for fundraising across functional lanes.
  • Ensure seamless integration of fundraising and financial management and reporting systems.

Leadership

  • Provide a strong day-to-day leadership presence, interface with the Board of Directors, and serve as the go-to leadership contact for staff when the CEO is out of the office.
  • Lead C-Suite meetings – agenda setting; tracking commitments and accomplishments; communicating internally.
  • Responsible for materials and logistics for meetings of Change Machine’s Board of Directors as well as interim communications with the Board and Board committees. Play a lead role in planning for and monitoring progress against Change Machine’s multi-year growth plan. Translate the organization’s annual priorities and multi-year vision into an institution-wide operating plan with specific focus on systems, policies, and talent management.

Qualifications

  • At least 15-20 years of professional experience and 5-10 years in senior leadership roles.
  • Demonstrated experience managing growing organizations; exceptional communication skills and excellent project management skills; understanding of organizational development and change management.
  • Demonstrated commitment to nonprofits, preferably in the financial security and/or technology sector.
  • Focused on outcomes and results, understanding what resources are needed to reach quarterly/annual targets, and create plans to overcome challenges and setbacks.
  • Ability to multi-task in a fast-paced and dynamic workplace.
  • Mission orientation to building financial security for low-income Americans through technology (i.e., FinTech).
  • Track record of establishing and maintaining relationships with senior management levels at other nonprofit organizations.
  • Bachelor’s and Master’s degree preferred, but exceptional candidates without a degree will be considered.
  • New York City candidates are strongly preferred, but qualified candidates located in other locations will be considered.
  • Knowledge of and experience with nonprofit finances in either a staff or board capacity.
