Lumos, an international NGO founded by J.K.Rowling, helps the 8 million children currently in orphanages regain their right to a family life. At least 80% of these children are not orphans but are separated from their families primarily by poverty and disability. Orphanages deprive children of loving families and put them at risk of impaired physical, intellectual and emotional development. Lumos supports countries in reforming child care and protection systems, focusing on the health, education, and social care services that keep families together.

Lumos works with the UN, the EU, the US Government, and the World Bank, focusing particularly on international aid as a driver of reform. It supports governments with expertise and skills, ranging from interventions to save the lives of children facing premature death to technical support on how to use complex financial mechanisms to ensure limited resources are used to achieve reform. Lumos has teams in Moldova, Bulgaria, the Czech Republic, Haiti, and Colombia, as well as offices in Brussels and New York. Lumos has demonstrated successfully that deinstitutionalization is achievable for every child.

The Position:
Lumos USA is seeking a professional operations generalist who can support a small US team that will double in size within one year. This is an exciting role that requires an innovative and entrepreneurial mind-set as Lumos experiences rapid growth and change.  The ideal candidate needs to be flexible, hardworking, and have strong experience in all operational areas. Experience in finance and human resources is especially valued.

The position is responsible for leading on all operational matters for Lumos USA, including the following:


  • Oversee budgeting for Lumos USA
  • Oversee accounting function for Lumos USA, liaising with board treasurer and collaborating with finance director of Lumos (UK) on consolidated global financial reports
  • Hire a local accounting firm
  • Coordinate internal and external audits

Human Resources

  • Oversee recruitment: hiring, orientation, and training for all Lumos USA staff
  • Ensure Lumos offers competitive salary and benefits packages to attract the best staff possible
  • Update employee handbook and keep it current


  • Oversee all office hardware and software
  • Coordinate IT training for staff
  • Establish telecom and video conferencing systems


  • Support on legal matters and build relationships with pro bono lawyers

Administration and Office Management

  • Establish and implement policies for Lumos USA, ensuring they are in line with US labor law and are appropriate for the field
  • Manage US office leases and other operational matters
  • Lead on insurance matters for Lumos USA
  • Manage US staff security, health and safety, and emergency protocols
  • Manage US offices, ensuring they are physically well maintained and stocked with supplies
  • Review contracts for suppliers and consultants
  • Liaise with a number of partners (PEO, accountants, lawyers) to ensure the smooth running of Lumos Foundation USA
  • Other tasks as reasonably required by senior management


  • Minimum 7 years’ experience in an operations or office manager role
  • Experience having established infrastructure and systems for an organization and providing teams with operational support
  • Ability to work effectively as part of a team, including with key internal and external actors
  • Creativity and to flexibility in responding to a dynamic and changing environment
  • Comfort with representing Lumos professionally with external actors
  • Excellent interpersonal skills, both written and oral
  • Strong organizational and project management skills; extremely detailed-oriented with strong commitment to accuracy
  • Ability to multi-task and manage priorities effectively
  • Excellent judgment and problem-solving skills
  • Absolute discretion when dealing with confidential matters
  • Exceptional follow-up and follow-through skills
  • Mastery of Microsoft Office Suite (Outlook, Word, Excel and PowerPoint), general comfort level with Internet/Intranet usage and ability to learn proprietary software
  • Advanced degree in business administration or public administration desired; equivalent experience considered
  • Experience working in an international organization strongly desired
